Project managers are team leaders and run each project as their own business plan with day to day responsibility for decision-making. This gives project managers the autonomy to tackle challenges and ensure the project’s timely completion and budget integrity.

Our Scope of Services includes the following platforms by phases of development:

  • Site visit and initial programming meetings, generate "use" sketch.
  • Coordination of due diligence check list with staff.
  • Updates and manage team operation meetings during acquisition phase.
  • Prepare and maintain action list for key milestones.
  • Coordinate gathering of previous public entitlement documents related to the acquisition.
  • Participate with client in preparing acquisition budget.
  • Consultant coordination of initial findings report to identify physical layouts, governing agency requirements and timing constraints.
  • Consultant coordination of environmental (phase 1 or 2) and geotechnical issues.
  • Consultant coordination of potential grading and drainage issues.
  • Consultant coordination to identify existing Utilities and infrastructure.
  • Consultant coordination for access and transportation studies.
  • Team build / contract negotiations with key consultants (Architect, Civil Engineer, Geotechnical, Environmental, etc.).
  • Initial City / Agency meetings to gather development guidelines, standards, fees, timelines and potential hurdles for agency approval process.
  • Coordinate design focus group, participants include Management team, Planners, Marketing Team, Finance team.
  • Coordinate first pass concept master plan and constraints map.
  • Participate with Client for deal structure and strategic plan.
  • Coordinate operations cost budgets and static pro-forma for project development.
  • Create Master Project Schedule.
  • Provide input for deal points in letter of intent to purchase and land purchase contract.
  • Complete Due Diligence check list.
  • Maintain action list for progress and milestone tracking.
  • Team build / contract negotiations.
  • Coordinate pre-development budget approval.
  • Coordinate master plan documents.
  • Prepare estimated construction cost package with early Contractor Budgeting.
  • Coordinate design team / marketing team input.
  • Coordinate initial City submittal for early agency feedback.
  • Coordinate Lender loan package.
  • Update budgets, pro-forma and cash flows.
  • Implement time and cost saving measures and VE options.
  • Coordinate Title exceptions check list.
  • Participate with final document review.
  • Kick off design team and monitor progress to master program.
  • Regular team meetings to monitor progress and submittal deadlines.
  • City and agency negotiations for uses and entitlement requirements.
  • Coordinate consultant meetings
  • Will serves with Utility and Public Service Companies.
  • Stakeholder / community meetings.
  • Assist with Developer / Agency agreements including DDA's or subdivision agreements.
  • Planning commission and city council meetings and public hearings.
  • Coordinate consultant work for easements, maintenance agreements.
  • Maintain master schedule.
  • Incorporate phasing into master plan, review with finance and marketing.
  • Periodic updates to marketing team on program adjustments.
  • Coordinate project graphics.
  • Coordinate project signage program.
  • Operations update for monthly investor reports.
  • Update preliminary construction budgets with Contractor input.
  • Update budgets, pro-forma and cash-flow.
  • Coordinate map recordations.
  • Kick off construction documents.
  • Monitor design team progress and plan check submittal dates.
  • Coordinate agency approval process.
  • Coordinate public improvement agreements and surety bonds.
  • Coordinate permit ready status with agencies.
  • Prepare Instructions to bidders.
  • Coordinate the Bid Phase and RFI's etc.
  • Bid support trades (construction staking & soils).
  • Update budgets
  • Coordinate with owner for construction loan package requirements
  • Consultant contract negotiations.
  • Award contracts.
  • Kick off meetings.
  • Coordinate with owner for construction loan closing.
  • Manage periodic construction meetings and assist contractor in interpretation of drawings and specifications with the project team and review ongoing testing reports (steel, soils, survey).
  • Monitor long lead item acceleration alternatives (steel, concrete, etc.).
  • Offsite improvement coordination
  • Consultant contract negotiations and award support consultants (staking, inspections, soils etc.).
  • Coordinate team construction administration, change order negotiations.
  • Coordinate construction team for closeout by phase (punch-list, lien releases and final payments).
  • Update budgets
  • Coordination of tenant improvement plans into shell/core construction process.
  • Security system design and coordination.
  • Coordinate environmental cleanup and approvals.
  • Demolition Coordination of the existing structures and site work including local and State clearances for removed materials.
  • Coordinate and manage Certificates of Substantial and Final completion documentation with City officials.

XBC and the project design team shall oversee construction administration at regular intervals throughout the duration of the construction phase.

  • Pre-construction meetings
  • Job site meetings.
  • Shop drawings, samples and finishes submittal review.
  • Assist contractor in interpretation of drawings and specifications and generation of value engineering summaries.
  • Coordinate RFI responses from Team to Contractor.
  • Preparation of meeting notes & project reports, distribution to team members & company.
  • Coordination of As-Built documents incorporating field revisions provided by the general contractor (warranties, guarantees, and manuals).
  • Prepare & oversee implementation of final punch list.
